Project Overview

SD Order Management System is a custom-built enterprise platform designed for Poland’s leading automotive audit company. The system digitizes and streamlines the entire audit lifecycle across 80+ factories nationwide, replacing a fragmented process of Excel spreadsheets and paper forms with a centralized, role-based management dashboard.

Built as a custom PHP application integrated with the company’s WordPress infrastructure via a dedicated plugin, the platform serves approximately 200 users — from field auditors conducting on-site inspections to managers overseeing operations and compliance. The system covers the full audit workflow: order creation, task assignment, multi-step approval chains, field data collection through mobile-friendly forms, and comprehensive analytics and reporting.

In production since 2024, the platform processes dozens of audits annually and continues to evolve under an active maintenance agreement, with ongoing improvements driven by real operational feedback.

The Challenge

The client’s audit process involved coordinating dozens of people across multiple roles and locations, all while relying on Excel spreadsheets and printed paper forms. This created several critical problems.

Data lived in silos. Each auditor, each manager, and each factory had its own version of the truth. There was no single source of standardized data, which made it nearly impossible to compare results across facilities or identify patterns over time.

Visibility into the process was essentially nonexistent. Management had no reliable way to see where audits were stalling, which steps consistently caused delays, or why certain factories repeatedly underperformed. Bottlenecks went undetected until they became urgent problems.

The multi-stakeholder nature of the workflow added another layer of complexity. Field auditors, team leads, and managers all needed access to different parts of the process with different levels of authority. With spreadsheets, there was no way to enforce approval chains or permission boundaries — anyone could edit anything, and accountability was difficult to track.

Finally, the sheer volume of the operation — 80+ factories, approximately 200 people involved, dozens of audits per year — meant that manual coordination was consuming enormous amounts of time that could have been spent on actual quality improvement.

Our Solution

We built a tailored dashboard management system that mirrors the client’s actual audit workflow, not the other way around. Rather than forcing the team to adapt to off-the-shelf software, we mapped their existing process and built a platform that fits how they already work — just faster, more reliably, and with full transparency.

The core of the system is a role-based workflow engine with multi-step approval chains. Each user sees exactly what they need based on their role and permissions. Field auditors access mobile-friendly forms for on-site data collection. Managers get a bird’s-eye view of all active audits, pending approvals, and overdue tasks. Leadership has access to analytics dashboards that surface the metrics that matter most.

A custom WordPress plugin connects the platform to the company’s existing internal site, keeping infrastructure consolidated and maintenance straightforward.

One of the most impactful features turned out to be the analytics layer. By standardizing data collection across all factories and audit stages, the system now reveals exactly where and why processes slow down. Tasks that were routinely completed at the last minute — or missed entirely — are now tracked, flagged, and visible. The client went from guessing at inefficiencies to having hard data they can act on.

The platform includes automated PDF report generation, giving teams professional documentation without manual formatting. The entire system was built in vanilla PHP for maximum control, performance, and long-term maintainability with no framework dependencies to manage.
